Export your figures for accounting

Download completed orders as a spreadsheet file to send to your accountant.

At the end of the week or the month you can download your completed orders as a CSV file. A CSV is simply a spreadsheet file that opens in Excel, Numbers or Google Sheets, and it is the format every accountant is used to receiving, so you can send it on without having to explain anything.

Download it

  1. Open Orders.
  2. Click Export accounting data.
  3. Pick the dates you want using From and To.
  4. Narrow it down if you need to, using Payment method (cash or card) and Order type (delivery or takeaway). Leave both set to All if you want the full picture, which is what your accountant normally wants.
  5. Click Export CSV.

The file downloads to your device and Dinerly tells you how many orders went into it, which is a quick way of checking you exported the period you meant to.

What’s in it

The export contains only the completed orders inside the range you chose. Cancelled orders are deliberately left out, because they represent money you never took, and including them would make your sales look higher than they really were.

Each order comes with its totals, the VAT recorded against it, how it was paid and how it was fulfilled. That is everything an accountant needs to reconcile a period without having to open orders one at a time or come back to you with questions.

Nothing came out?

If you see No completed orders in this range, check the dates before anything else. Nine times out of ten the range ends the day before the orders you had in mind, or a filter has been left set from the last time somebody used the export, so it is quietly excluding almost everything.

Export the same period every month, on the same day, and keep the files. It takes a minute while the month is fresh in your mind, and it means that at year end you already have everything in one place instead of spending an afternoon reconstructing it.
